How to name your CV file before sending it (yes, it matters)

A generic filename is a small detail that quietly signals carelessness before a recruiter has read a single line of the CV.

Why filenames matter more than they seem

Recruiters often manage dozens or hundreds of applications across email attachments and ATS-uploaded files. A CV saved as "Document1.pdf" or "resume final v3 (2).docx" is harder to search, harder to identify at a glance, and quietly signals a lack of attention to detail — a small thing, but an unnecessary risk on a document meant to represent you professionally.

The naming format that works best

A clear, simple structure covers almost every situation: FirstName_LastName_CV.pdf or FirstName_LastName_Resume.pdf. If you're applying to multiple different types of roles and want to differentiate, add the role: FirstName_LastName_CV_MarketingCoordinator.pdf.

Good examples

  • Sara_Ahmed_CV.pdf
  • James_Carter_Resume.pdf
  • Sara_Ahmed_CV_ProjectManager.pdf

Filenames to avoid

  • "Document1.pdf" or "Scan001.pdf" — default names left unchanged
  • "resume final FINAL v2 (1).docx" — clearly a leftover working filename
  • "CV.pdf" with no name at all — indistinguishable once saved among dozens of other applicants' files
  • Overly long filenames with dates, version numbers and extra symbols — harder to read at a glance in a file list

Use underscores or hyphens, not spaces

Spaces in filenames can occasionally cause display or encoding issues across different systems and email clients. Underscores (Sara_Ahmed_CV.pdf) or hyphens (Sara-Ahmed-CV.pdf) both work reliably and look clean — pick one and use it consistently across your CV, cover letter, and any other attached documents.

What format should the file itself be?

PDF is the safest default for most applications — it preserves formatting exactly as designed regardless of the device or software opening it. Use .docx only if a job posting specifically requests an editable Word document, which some ATS systems ask for so they can extract and re-format the text internally.

Naming your cover letter to match

Keep the same naming convention across every document you send for one application — Sara_Ahmed_CV.pdf alongside Sara_Ahmed_CoverLetter.pdf. Consistent naming looks organized as a set, and makes it easy for a recruiter to keep your documents together rather than mixed in with other applicants' files.

FAQ

Should my CV filename include the date?

It's not necessary and can make the filename longer than it needs to be — your name and "CV" or "Resume" is enough for almost every application.

Is PDF or Word better for a CV filename and format?

PDF is the safer default since it preserves formatting exactly across devices; use Word only when a job posting specifically asks for an editable document.
